Understanding the MOC Workflow

ChangePilot uses a parallel workflow system. This means all departments review MOCs simultaneously, rather than one after another. This makes the process faster and more efficient.

Key Difference: In traditional sequential workflows, Department A must finish before Department B can start. In ChangePilot's parallel workflow, all departments can review at the same time!

MOC Lifecycle Stages

1

Draft

MOC is created but not yet submitted for review. The creator can edit all fields.

Status: "Draft" - Only visible to creator

In Review

MOC is submitted and workflow is initialized. All relevant departments can now review simultaneously. Each department has a pending review step.

Status: "In Review" - Visible to creator and all department reviewers

What happens: System creates a workflow step for each department that requires review. All steps start as "pending" so departments can review in parallel.

Pending Revision

At least one department requested revision. The MOC creator needs to make changes before resubmission.

Status: "Pending Revision" - Creator can edit and resubmit

Approved

All departments have reviewed and approved. The MOC can proceed to implementation.

Status: "Approved" - Ready for implementation

Rejected

At least one department rejected the MOC. The change should not proceed as proposed.

Status: "Rejected" - Change cannot proceed

Completed

MOC has been approved and implemented. Post-completion reviews can be added.

Status: "Completed" - Implementation finished

Benefits of Parallel Review:

  • Faster: All departments work simultaneously instead of waiting
  • More Efficient: No bottleneck if one department is slow
  • Independent: Each department's review is independent and doesn't influence others
  • Complete Picture: All perspectives are captured simultaneously for better decision-making

How MOC Completion Works

After you submit your review, the system automatically checks if all departments have completed their reviews. Here's how the final status is determined:

All Departments Approve

If every department approves (or skips), the MOC status becomes "Approved" and can proceed to implementation.

Any Department Rejects

If any department rejects, the MOC status immediately becomes "Rejected" and cannot proceed.

Any Department Requests Revision

If any department requests revision, the MOC status becomes "Pending Revision". The creator can then revise and resubmit the MOC.

Still Waiting for Reviews

If not all departments have reviewed yet, the MOC status remains "In Review" until everyone completes their review.

Common Questions

Can I see other departments' reviews before submitting mine?

No, in parallel workflow, all departments review independently. This ensures each department provides their honest perspective without being influenced by others. You'll see all reviews after completion.

What if I'm late with my review?

Other departments can still complete their reviews. The MOC won't be marked as complete until all departments have reviewed. Administrators may send reminders for pending reviews (future feature).

Can I change my review after submitting?

Currently, reviews cannot be edited after submission. If you made an error, contact your administrator. This ensures the integrity of the review process and audit trail.

What if a department is missing or needs to be added?

Contact your administrator. They can add departments or modify the workflow. Only administrators can configure departments and checklist criteria.
