Frequently Asked Questions

How do I start a project?

Three paths, all from the empty Projects page: describe the work and let ChangePilot scope it, paste an existing task list and let us enrich it, or create manually. The planner path is the fastest — most projects go from idea to a full plan with subtasks, dependencies, and risks in about 30 seconds. Free plan includes 3 projects.

I pasted my Excel task list — what happens?

We keep every task you pasted, in the order you wrote them. Then we flesh out each one with subtasks, dependencies, and estimated days. After that, we append the tasks most people forget — kickoff, permits, sign-off, closeout, training, documentation. Nothing you pasted disappears; the enrichment is additive. Works for TSV (Excel clipboard), CSV, or plain newline-separated lines.

I tried the screener anonymously — does my plan survive signup?

Yes. Your plan is saved to your browser's session storage, then imported into your new workspace as soon as you finish signing up. The “why this matters” narrative, risk factors, and any regulatory context the planner surfaced all come with. You don't re-run the planner.

What does the Audit Trail PDF include?

Every status change, comment, assignment, escalation, and evidence upload on the project — attributed to the user who made it, timestamped. Plus the plan itself (tasks, estimates, dates). Download it from the project header button. It's the compliance-grade export teams use when a regulator asks to see how a change was approved and executed.

How do I invite teammates?

From the workspace teams page: Projects → Team setup. You can invite by email. Team tier ($49/mo) unlocks unlimited invites; free tier is solo only.

Who shows up when I assign a task?

The assignee picker is scoped to people on the project's team. If someone you're expecting isn't in the list, add them from the project's Team panel first. Solo projects only show you.

How do I cancel or see invoices?

On Account settings, click “Manage billing.” Opens the secure Stripe customer portal in a new tab — view invoices, update your card, or cancel your subscription.

Can I export my data or delete my account?

Yes, both self-service from Account settings. “Download my data” returns a JSON bundle of your profile, projects, comments, and evidence. Delete account requires type-to-confirm; we cascade delete your projects but anonymize comments you left on teammates' projects so their audit trails stay intact.

Who can create a MOC?

Any registered user can create a Management of Change document. You don't need special permissions to initiate a change request.

Who can review MOCs?

Only designated department reviewers can review MOCs. An administrator assigns reviewers for each department. If you need to review MOCs but can't, contact your administrator.

How long does the review process take?

All departments review simultaneously (parallel workflow), so the process is as fast as the slowest department. Typically, reviews are completed within a few days.

What happens after I submit my review?

Your review is saved and the system checks if all departments have completed their reviews. If all approve, the MOC is approved. If any department rejects or requests revision, the MOC status updates accordingly.

Can I edit a MOC after submitting it?

Yes, MOCs can be edited. All changes are tracked in the audit trail with timestamps and user information.

What's the difference between standard and guided creation?

Standard creation lets you fill out the form directly. guided creation asks follow-up questions to help you think through all aspects of the change, making it more likely you'll catch important details upfront.

I don't see a MOC I created - where is it?

You can only see MOCs you created OR MOCs pending review in your department (if you're a reviewer). If a MOC isn't showing, check that you're logged in correctly and that it wasn't archived.
